Privacy & cookie policy

This policy explains how White Coat SEO LTD ("we", "us", "our") collects and uses your personal data when you use this website, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018). We are the data controller for the information described here.

Who we are

White Coat SEO LTD is a doctor-led SEO and growth agency for specialist clinics. For any privacy question, or to exercise the rights below, contact us through our contact form.

What we collect and why

  • Enquiry & free-check forms. When you submit a form we collect the details you provide (such as your name, email, clinic name, website and message) so we can respond. Our legal basis is our legitimate interest in responding to enquiries about our services.
  • Bookings. If you book a call, that is handled by Calendly, which collects your name, email and chosen time so we can hold the meeting. Our legal basis is our legitimate interest in arranging meetings you ask us for, and taking steps at your request before any contract.
  • Analytics. With your consent, we use Google Tag Manager to load Google Analytics 4, which tells us how the site is used (pages viewed, approximate location, device type, enquiries submitted) so we can improve it. Nothing from Google is requested and no analytics cookies are set unless you accept them in the cookie banner, and you can reject them just as easily.
  • Technical logs. Our host, Cloudflare, processes limited technical data (such as IP address) to deliver and secure the site. Our legal basis is our legitimate interest in keeping the site available and protected.

Who we share it with

We do not sell your data. We share it only with the service providers that operate this site and our enquiry process, each acting as our processor or as an independent controller for their own platform:

  • Resend - delivers form submissions to our inbox as email.
  • Google (Analytics 4) - website analytics, only with your consent.
  • Google (Maps) - the embedded map on our contact page. Loading it makes standard requests to Google, which Google may use per its own privacy policy.
  • YouTube - a client testimonial video, embedded in privacy-enhanced (youtube-nocookie) mode. It loads nothing until you press play; once played, YouTube processes standard viewing data.
  • Calendly - call bookings.
  • Stripe - payment processing if you book a paid call via Calendly. We never see or store your card details.
  • Cloudflare - hosting, content delivery and security, including the Turnstile check that confirms a form submission comes from a person rather than a bot.

Some of these providers, including Google and Calendly, process data outside the UK, in the United States. Where they do, the transfer is protected by appropriate safeguards, such as the UK International Data Transfer Agreement (or the Addendum to the EU Standard Contractual Clauses) and the providers' own contractual commitments.

Cookies

This site sets no cookies by default. Our cookie banner gives "Accept" and "Decline" equal, one-click prominence: we only set analytics cookies (Google Analytics 4) if you choose Accept, and if you Decline nothing non-essential is stored. We remember your choice locally in your browser so we don't ask again on every visit. You can change your mind at any time by clearing this site's browser storage, which makes the banner reappear.

How long we keep it

We keep enquiry correspondence for as long as needed to deal with your request and for a reasonable period afterwards in case you get back in touch, then delete it. Google Analytics data is retained for up to 14 months, after which Google deletes it automatically.

Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • ask us to correct it if it is wrong;
  • ask us to delete it ("right to erasure");
  • restrict or object to how we use it;
  • ask for a copy in a portable format; and
  • withdraw consent at any time, where we relied on consent.

To exercise any of these, use our contact form. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time. When we do, we'll change the "Last updated" date above.
